Open Access Publication Support Program

Dravet Syndrome Foundation Spain (FSD) was created with the main objective of eliminating the barriers that prevent research on Dravet syndrome from advancing, as well as encouraging the search for effective treatments that can mitigate or even cure the disease.

Along with these lines, FSD believes in the importance of accessibility to scientific information for the benefit of global knowledge flow, innovation and socio-economic development. Open access publishing allows scientists to develop their research programs based on previous results, avoiding unnecessary duplication of effort and improving quality and productivity in the research centers. In addition, open access to scientific information supports transparency, making research available to individual citizens and non-for-profit organizations. In combination, access to scientific knowledge speeds up innovations and brings treatments to market in less time.

With its Open Access Support Program, FSD intends to address the problem of limited access to publications in the field of developmental and epileptic encephalopathies and, more specifically, Dravet syndrome, and at the same time encourage professionals to choose to publish in open access journals.

  • Deadline for receipt of applications: all year (2021, 2022 and 2023) long
  • Announcement of the awarded application(s): maximum one month after reception of application

Overview and Eligibility Criteria

This is an ongoing call only limited by FSD’s budget. Authors can apply for a grant of up to EUR 2,000 to cover the open-access publishing fees required for the publication in international scientific journals of a manuscript resulting from high quality research on Dravet syndrome. A directory of open access journals can be found on DOAJ and Sherpa Romeo.

⚠️ FSD accepts only original research manuscripts (i.e., no reviews or commentaries) submitted to journals from non-for-profit publishers. In addition, to ensure high quality of the publications, the presented manuscript must have been subjected to a full peer review, i.e., only peer reviewed manuscripts editorially accepted but in the process of proof-reading prior formal acceptance for publication, or manuscripts under minor revision will be considered for funding within this call. See Section Information to be included in the application for more details. ⚠️

Manuscripts for which open-access publishing fees will be supported by this program shall be related to basic, preclinical and/or clinical research on Dravet syndrome. Any area of study (medicine, biology, sociology, economy, etc.) will be accepted for application.

To be eligible for this call, applicants must be scientifically independent and affiliated with a public research entity or a non-for-profit organization. 

Applicants shall be the principal investigator (PI) of the study (i.e., last author in the manuscript), and shall have a written support letter from their host institution before applying (see Section Information to be included in the application). International applicants, whatever their ethnic origin, religion, age, gender and ability may apply to this Call. Priority will be given to applicants from institutions with small research budgets but wishing to publish high quality research in internationally recognized open access journals.

An author may apply several times to this call, provided that each application refers to a different manuscript. However, only one application per author may successfully pass the evaluation process.

In addition, a research group is eligible to receive only one grant per calendar year. Nevertheless, co-authors in the same granted publication who belong to a research group other than that of the awarded applicant may still apply to this call with a different manuscript.

Co-funding is NOT permitted. Thus, FSD will only support open-access publication of projects for which publication fees are not already covered by other agencies. However, if total publishing fee from the journal is higher than EUR 2,000, additional funding from other agencies to cover the remaining publishing costs is then permitted by FSD.

Information to be included in the application

FSD only accepts applications referring to an original research manuscript which has successfully passed a peer review process from the reviewers of the scientific journal. Thus, only manuscripts editorially accepted but in the process of proof-reading prior formal acceptance for publication, or manuscripts under minor revision will be considered for funding within this call.

Applications must be submitted to FSD a maximum of one week (7 calendar days) after the applicant has received the editorial acceptance or the reviewers’ decision of minor revision from the journal.

Applications will be in digital format and sent electronically through the online form available at the bottom of this page.

Applications must include the following information, all written in English:

  • Applicant details: (i) First name, (ii) Last name, (iii) Title, (iv) Email address, (v) Phone number, (vi) ORCID iD, (vii) Research group, (viii) Affiliation, (ix) Address (Department/Institute name, Street and no., Postcode, City, Country).
  • Journal name and journal publisher.
  • Title of the manuscript.
  • Copy of the peer-reviewed and/or accepted manuscript.
  • Proof of journal’s decision on editorial acceptance or minor revision of the manuscript (copy of email from editor).
  • Letter of support from Host institution: to accelerate the awarding process, your host institution (paying the publication fees to the journal and receiving FSD funding if grant is awarded) shall be aware of and agree with your application so that the Grant Agreement with FSD is signed as soon as possible. Please, download HERE the letter of support template (to be filled by the responsible person at your host institution who is authorized to sign the Grant Agreement with FSD once application is accepted) and upload it, dully filled and signed, as a pdf HERE.
  • Estimated date for publication approval of the manuscript by the journal.
  • Estimated date for publication of the manuscript by the journal.
  • Dissemination plan: description of the proposed communication measures to promote the findings described in the manuscript among the scientific community and the general public.
  • Total Open-Access publication fee (in euros) and proof of cost (journal guidelines, copy of email/invoice from publisher, etc.).
  • Bank details for wire transfer if grant is awarded: (i) Bank name, (ii) Bank address, (iii) Account holder, (iv) SWIFT/BIC code, (v) IBAN. Please note that FSD’s wire transfer will be made directly to the entity paying the original fee to the journal (e.g., the applicant’s host institution), and not to the awarded applicant.
  • Declaration that the funding requested to FSD has not been received from any other funder.
  • Acceptance both the entire FSD Privacy Policy and all terms of the FSD Open Access Publication Support Program.

Evaluation

Applications will be evaluated by the FSD Scientific Director, with support from the FSD Scientific Committee, following the criteria of scientific quality, relevance and potential to generate significant knowledge and an impact on the Dravet community. All applications meeting the required eligibility and evaluation criteria will be awarded following a first come, first served basis and until all dedicated funding is used.

Applicants will be notified of the result of the evaluation via email. Successful applicants will receive a Grant Confirmation Letter, where instructions for the program follow-up will be given and details for wire transfer of the grant will be requested.

Please note that this is not a scientific peer review. Applications will only be evaluated in the context of their compatibility with FSD Open Access Support Program’s aims. Evaluators are subjected to strict confidentiality regarding the matters of which they become aware during the evaluation process.

Grant Awarding

Each grant will cover up to EUR 2,000 of the fees required to publish a manuscript on high quality Dravet research in an open-access journal.

Upon acceptance of the application by FSD, applicant commits to mention FSD funding in the Acknowledgements and/or Funding Information sections of the final manuscript to be published.

Funding will only be provided upon publication of the manuscript. To receive the funding, applicant shall send to FSD, via email to [email protected], the proof of payment of the publishing fees to the journal and the DOI and URL link of the published manuscript mentioning FSD funding.

Please note that FSD’s wire transfer will be made directly to the entity paying the original fee to the journal (e.g., the applicant’s host institution), and not to the awarded applicant.

Program follow-up

Applicant must inform FSD as soon as the awarded manuscript is published.

Successful applicants also commit to disseminate the research published thanks to the contribution of the FSD Open Access Support Program among the scientific community and the general public. All communications derived from the FSD-awarded publication, including a copy of the paper in its final published form, must be shared with FSD (via email to [email protected]) for its own dissemination purposes.

It is anticipated that FSD may invite or request award recipients or their collaborators to present their published results at the FSD Annual Family Meeting, the FSD Scientific Conference, or at any other event organized by FSD.

Grant Agreement

Once application is accepted, a Grant Agreement prepared by FSD, written in English, must be electronically signed by the grant holders and their entities as well as by FSD.

    TERMS & CONDITIONS

    The Dravet Syndrome Conference 2023 is organised by Dravet Syndrome Foundation Spain, whose registered office is located at Calle Doctor Fleming, 30, 28036 Madrid, Spain.

    The conference shall take place at the Official College of Nursing of Madrid, at Avenida de Menéndez Pelayo, 93, 28007 Madrid, Spain, on Thursday 23rd of March 2023. Attendance to this conference is free of charge, but mandatory for organisational reasons.

    Participants must register online at www.dravetconference.com. Upon registration, each participant will receive an electronic confirmation by email. On-site registration will not be be possible. If a participant has not received the official email registration confirmation within 3 days, they must contact the conference secretariat at [email protected].

    The conference registration includes: Attendance to all sessions, oral and visual presentations, all coffee and lunch breaks, and conference documentation with all information about the event. The registration does not include travel and accommodation costs or any other personal expenses.

    Admittance to the conference without registration cannot be granted.

    Conference Attendance
    Upon arrival at the Official College of Nursing of Madrid the day of the event, all participants have to check-in at the onsite Conference Registration Desk. The desk will open on 23rd of March at 8:30 a.m. Upon registration onsite, the conference team will provide participants with information about the event and a badge, which should be worn visibly at all times. The personalised badge authorises participants to attend all conference sessions, and lunch and coffee breaks.

    Cancellation Policy
    Dravet Syndrome Foundation Spain reserves the right to cancel any registration forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, public health measures, or any other cause beyond the control of the Dravet Syndrome Foundation Spain, which shall prevent it from performing its obligations. In these circumstances, every effort will be made to find an alternative format/venue or propose a new date for the conference. Should the conference be cancelled for any reason, airfares, hotels, or other costs incurred by the participants are not reimbursed by the Dravet Syndrome Foundation Spain.

    Any participant is allowed to cancel his/her registration but must notify this to the conference organisers by e-mail at [email protected] within a minimum of 10 days prior the event. Failure to attend the event without prior written notification by email may incur a no-show fee, which shall cover individual organizational, material and catering costs.

    Name Change
    All registrations are only valid for the respective person mentioned in the form. A registered participant unable to attend the conference may nominate (free of charge) a substitute participant by notifying the conference organisers by email at [email protected] before 16th of March 2023. The procedure allows giving the last name, first name, and email address of the new participant.

    Personal Data
    Upon registration, the participant authorises Dravet Syndrome Foundation Spain to use their personal data stated above to inform the participant of any further conferences, events, or information concerning the conference and Dravet Syndrome Foundation Spain’s activities. The conference booklet online will only contain authors, titles, and affiliations of submitted abstracts, but no full abstract texts. The conference printed booklet will contain full abstract texts from all participants. Conference certificates will be sent to the participants as a PDF document upon request at [email protected]. Only the name & affiliation will be stated in the certificate, not the email addresses of the participants.

    Information is collected by an automated computer system that manages registrations. Security and confidentiality are guaranteed by state-of-the-art technical tools. However, Dravet Syndrome Foundation Spain declines any responsibility concerning data security transmitted through the internet.

    Photography
    The conference is held in public; therefore, we do not ban participants, exhibitors, partners and other companies from taking photographs of conference activities and participants, and share it via social media. By participating in the conference, you approve that general pictures will be taken and used for our Social Media output, our websites and other communication purposes. You hereby waive any right to oppose, and expressly authorise the organiser to make them available on the Internet or as it may seem fit. Author’s presentation slides shall not be photographed by any conference participant. 

    Disclaimer
    The conference organiser cannot be held responsible for any loss, injury or damage to any property, whatever the cause may be. Should, for any reason outside the organiser’s control (e.g., political or economic circumstances or a case of ‘force majeure’), the venue or speakers change, or the event be cancelled, the organiser will endeavour to reschedule, but shall not be held responsible for any costs, damages or expenses incurred by the participants. If for any reason the organiser decides to make material changes to this conference, the organiser is not responsible for airfares, hotels or other costs incurred by the participants. The participant takes part in the conference, all tours, and trips at his own risk.
